2008 SOLITAIRE AGM

This year's Annual General Meeting will take place at 8.30pm on Tuesday 10th June 2008 at Blacknest Golf
& Country Club.
The full meeting agenda and confirmation of other details will be included with the June Newsletter & Event Programme.
Every member of Solitaire should try to come along. This is the unique annual opportunity to influence
what Solitaire does and how it does it, to say what you like and what you don't like and to offer new ideas
for the coming year.
Probably the most important task is to choose up to nine members to form the new Committee for another
twelve months.

Timetable. The timetable of events leading up to the AGM is specified in the Constitution:
- Formal notice of the AGM will be given in the May programme, to be published on Tuesday, 1st May.
- Resolutions must be received by the Secretary at latest by Tuesday, 20th May.
- The agenda and list of Resolutions will be sent to members with the June programme.
Agenda. The Solitaire constitution lays down the items which form the AGM Agenda.
AGM AGENDA
The AGM follows a set agenda as follows:
- Apologies for absence.
- Matters arising from last AGM.
- Chairman's Report.
- Treasurer's Report and approval of accounts.
- Agreement to Annual Membership Subscription.
- Adoption of amendments to Constitution, if any.
- Election of up to nine members to form the new Committee for the next year.
- Resolutions, if any.
- Any other business.
- Outgoing Chairman's closing remarks.
ELECTION OF NEW COMMITTEE
Each year at its AGM, Solitaire elects from its membership the Chairman, Secretary, Treasurer and up to six
other members to form a new Committee for the following year. All members of the previous year's Committee resign,
but each remains eligible, if nominated, to stand for re-election.
Members who have already enjoyed the benefits of Solitaire are encouraged to consider standing for election
to the Committee. This allows them to put their ideas and experience back into the Club, for the benefit of
newcomers. In practice, the membership seeks to elect a Committee with a good balance between the ladies
and the gentlemen; and between long-established and newer members.
Nomination forms will be made available at Club Nights. Nominations this year will open on Tuesday 28th March
and remained open until the start of the AGM itself. Each nomination required a proposer and seconder, both
of whom must also be Solitaire members.
AGM RESOLUTIONS
Any member is entitled to propose a Resolution for adoption by the Club at the AGM. If the Resolution
requires a change to the Club's constitution, it is dealt with at item 6 of the AGM Agenda.
Other resolutions are dealt with at agenda item 8.
Resolutions must be submitted through the Solitaire secretary in accordance with the constitutional timetable.
This year, the deadline for resolutions is Tuesday, 23rd May.
SOLITAIRE CONSTITUTION
The Solitaire Social Club is governed by a written constitution. This contains clauses governing:
- The name and aims of the Club.
- Persons eligible for membership and requirements for conduct.
- Setting and collection of the membership subscription.
- Structure of the Committee, powers of the committee and method of election to the committee.
- Keeping of accounts and arrangements for audit.
- Arrangements for the Annual General Meeting, and for other meetings which may be required.
- Procedures to be followed if required for dissolution of the Club and for amendment to or interpretation of the constitution
The current version of the Solitaire Constitution was approved at the A.G.M. held on 9th June 1998. The
constitution can be changed by resolution passed at the A.G.M.. Changes were last approved at the A.G.M. held
on 15th June 2004.
A copy of the constitution is sent to each new member. It is also available for inspection on Club Nights,
or a copy can be obtained from the secretary. The full text is not included on this web site.
THE SOLITAIRE COMMITTEE
The Club is co-ordinated by its Committee, which is made up of:
- Chairman (or woman).
- Secretary.
- Treasurer.
- Up to six other members.
The Committee is responsible for stewardship of the Club. Their phone numbers are listed on the front page
of the news letter section of the monthly programme.
The Committee normally meets once a month to plan and co-ordinate the monthly Solitaire news letter and
event programme and manage admission of new members, collection of subscriptions and other issues which arise
from time to time.
Each year at its Annual General Meeting, the Club elects up to nine of its members to form a new Committee
for the following year.
